OAG Attendance, Rollover, and Liability Policy

1. Purpose
This policy outlines the guidelines and procedures for OAG members and attendees who register for continuing education (CE) meetings. It emphasizes timely communication regarding attendance, explains the conditions for rollover requests, clarifies seat guarantees for prepaid participants, and provides legal disclaimers regarding OAG’s liability.

2. Registration and Seating

  1. Prepaid Registration

    • Registration operates on a first-come, first-served basis. Once maximum capacity is reached, registration will close and no further participants will be admitted.
    • Seats are guaranteed to participants who have prepaid for their registration as long as maximum capacity is not reached prior to applying for registration.

  2. Timely Communication

    • Attendees must inform OAG as soon as possible if they are unable to attend a scheduled CE meeting.
    • Prompt notification ensures accurate record-keeping of attendance and allows OAG to manage waitlists or potential replacements more effectively.

3. Rollover Requests

  1. One-Time Courtesy Rollover

    • If an attendee is unable to attend a CE meeting, OAG offers a one-time courtesy rollover of their registration to a future meeting within a 12-month period of the original event date.
    • This courtesy is extended only once; subsequent requests for rollover beyond this 12-month window will not be granted.
  2. Notification and Documentation

    • Rollover requests must be submitted in writing (email or official form) prior to the scheduled event or as soon as the attendee becomes aware of their inability to attend.
    • Requests received after the conclusion of the meeting may be subject to additional review or denial at OAG’s discretion.
  3. Review Process

    • The OAG Board or its designated committee will review rollover requests, especially those made more than 30 days after the event date.
    • Attendees may be asked to provide supporting documentation (e.g., medical certificates, work-related travel requirements) to substantiate their request.

4. Liability Disclaimers

  1. Organizational Liability

    • OAG does not assume liability for any costs, damages, or losses incurred by the attendee beyond the registration fees paid to OAG. This includes, but is not limited to, travel expenses, accommodation costs, and other incidental charges.
  2. Force Majeure

    • In the event of unforeseen circumstances such as natural disasters, strikes, or other events beyond OAG’s control, OAG reserves the right to reschedule, modify, or cancel any CE meeting without liability for any damages or losses incurred by attendees.
  3. Personal Responsibility

    • Attendees are responsible for their own conduct and should comply with all relevant local, state, and federal laws while participating in OAG-sponsored events.

5. Policy Enforcement and Updates

  • Enforcement

    • OAG’s Board of Directors and administrative staff are responsible for enforcing this policy. Non-compliance may result in forfeiture of registration fees and/or denial of future rollover requests.
  • Policy Review and Updates

    • This policy may be reviewed and updated periodically by the OAG Board of Directors. Changes will be posted on the OAG website, and members are encouraged to stay informed of the most current policies.
